Five follow-up messages that help turn enquiries into jobs

Following up is not about pestering people. It is about making the next step easy, answering doubts and helping a busy customer come back to a job they already asked about.

After a missed call

“Hi [name], it’s [your name] from [business]. Sorry we missed your call about [service]. If you send the postcode and a brief description, I can check the area and call you back by [time].”

This acknowledges the call, collects useful information and gives a clear expectation. Avoid an automatic message that only says somebody will be in touch.

After receiving a website enquiry

“Hi [name], thanks for asking us about [service] in [area]. I have your details. I just need to check [one useful question] before I can advise on the next step. Is it easier to call you this afternoon or tomorrow morning?”

Referencing their service and area shows that the message is connected to their actual enquiry, not a generic sales sequence.

After sending a quote

“Hi [name], just checking you received the quote for [job]. If there is anything you would like me to explain, reply here or call me on [number]. We currently have [genuine availability] if you would like to go ahead.”

Reassurance and real availability are more useful than artificial pressure. Never invent a deadline or pretend a slot is disappearing.

When the customer has gone quiet

“Hi [name], I know things get busy, so I wanted to check whether you still need help with [job]. If the timing has changed, no problem—just let me know and I’ll update our notes.”

This gives the customer an easy way to answer yes, later or no. A clear outcome is better than leaving every old quote open forever.

A final helpful follow-up

“Hi [name], I’ll close this enquiry for now so I don’t keep messaging you. If you still need [service], reply to this message and we’ll be happy to help.”

Use a sensible gap between messages and respect requests to stop. Automations can send reminders reliably, but the wording should still sound like your business and pause as soon as the customer responds.
